eBay Item Not Received: A Seller’s First 3 Business Days

Respond to an eBay item-not-received request using delivery evidence, acceptance scans, refund or replacement options, and a separate carrier investigation.

An eBay item-not-received request needs a decision tied to the shipment record. For US ebay.com sellers, eBay’s seller guide allows 3 business days to resolve it before either party can ask eBay to step in. Open the request now and record its displayed deadline.

This workflow covers domestic parcel shipments, with a separate branch for eBay Standard Envelope. Go Massive recommends checking the evidence, choosing an available response inside the request, and keeping any carrier investigation on its own schedule. Your current request and applicable policies control the outcome.

Start with the request and its clock

Open the request from eBay’s notification and match its order number to the sale. Our suggested working note contains the buyer’s concern, the request opening date, response deadline, tracking number, carrier, latest scan, and assigned owner. Save that note before moving between screens.

Give the case one owner even when shipping and customer service are different teams. Set an internal reminder before the displayed deadline so there is time to check the response. A carrier support ticket belongs in the same working note, with its own reference and next action.

Our recommendation is to write a short factual acknowledgement through the request. State what you are checking and when you will update the buyer. Avoid promising an arrival date that the carrier has not confirmed. Treat acknowledgement as the start of the work, with a resolution still to address.

If tracking says delivered, inspect the evidence

eBay’s delivery-evidence guidance calls for integrated-carrier tracking with shipping and delivery dates and the delivery address. Add or confirm those details in the request. Check the actual destination evidence against the order before relying on the word “delivered.”

For domestic ebay.com orders, the signature policy requires signature confirmation for protection at $750 or more. That threshold includes everything the buyer paid for the item(s), shipping, and tax. Use the order total, then inspect the signature record. Meeting one condition does not guarantee protection.

Our recommended comparison is order, carrier, tracking number, destination, delivery event, then signature where required. Keep a dated copy of what you observed. If something differs, describe the discrepancy precisely instead of asserting that the buyer must have received the parcel.

eBay’s tracking guide says requests automatically close within 24 hours when tracking shows delivery to the buyer’s ZIP code; the buyer can still ask eBay to step in during that interval. Check the actual request status and confirmation rather than assuming a delivered scan ended the matter.

If tracking is moving or stalled, choose a response

eBay’s request guide lists tracking, refund, messaging, and a replacement offered through messaging when the buyer prefers the item. It directs a refund when integrated tracking lacks delivery to the order address or transit has shown no movement for at least 7 days. Use the options actually available in your request.

For a moving parcel, our recommendation is to record the last event exactly and identify what remains unknown. “Arrived at facility” is a useful observation; “will arrive tomorrow” needs separate support. Offer a realistic next update without implying that communication extends the resolution period.

Before offering a replacement, check stock, dispatch readiness, and the buyer’s preference. Record what was agreed and retain the new shipment details. Do not send an unagreed substitute simply to create another tracking number. Make the response understandable to someone who has only the case record.

If there is only a label, look for acceptance

A label purchase is different from a carrier acceptance event. eBay’s tracking instructions say eBay-issued labels upload tracking automatically, and their INR protection guidance calls for integrated-carrier tracking with an acceptance scan. Acceptance shows shipping; it does not establish delivery.

Our recommended check is to compare the carrier and eBay records, inspect the number for transcription errors, and ask your dispatch team for the handoff evidence. Keep receipts or collection records for investigation, but do not describe them as a delivery scan. If acceptance remains missing, state that uncertainty clearly.

Choose the current case response using the evidence you have. Avoid spending the entire response window repeatedly refreshing the same label-created screen. Record who will resolve the buyer’s request and who will pursue the missing shipment, especially when those are different people.

Handle eBay Standard Envelope separately

The Seller Center shipping FAQ places Standard Envelope tracking in eBay accounts, My eBay, and Seller Hub. It explains that tracking may not continue through delivery and directs sellers handling an INR request to work with the buyer on a timely refund. It also identifies a separate shipping-protection claim route.

Our recommendation is to identify this service at the beginning of the review. Check its eBay tracking view and current protection terms rather than applying a parcel carrier’s website assumptions. Preserve the order and complaint records for any eligible claim, and keep the buyer resolution moving independently.

Keep the carrier claim on a separate track

Go Massive recommends two entries in your handoff: buyer resolution and shipment recovery. The first records the eBay action, deadline, and confirmation. The second records the carrier trace or applicable protection claim, supporting documents, owner, and next date. Do not treat an investigation as permission to postpone the eBay response.

Before leaving the case, save the action confirmation, latest tracking record, buyer communication, and any refund or replacement details. If unresolved, use the escalation instructions shown in the current request. No part of this checklist promises a case decision, insurance approval, or recovery of a refund.
