Walmart WFS Inbound Shipments: Plan, Label, Hand Off and Verify
Plan a Walmart WFS inbound shipment with accurate packing data, the right labels, carrier responsibilities, freight appointments and receiving checks.
Create the shipping plan before dispatch
A Walmart WFS inbound shipment needs a consistent record from warehouse packing through receiving. Create the plan before dispatch, pack the assigned inventory, separate the label types, and confirm who owns pickup and delivery coordination. After arrival, verify item receiving before closing the replenishment task.
This workflow is for US Walmart Marketplace sellers who have already chosen WFS for the affected SKUs. If that decision is still open, start with our WFS versus seller-fulfilled guide. The practical checks below are Go Massive’s working recommendations; linked Walmart guides establish the platform requirements.
Confirm the items are set up for Walmart fulfillment, then create and review the shipping plan in Seller Center. Walmart warns that inventory sent without a plan can be delayed at check-in or rejected. Save each shipment ID and its assigned destination before your warehouse books transport. See Walmart’s appointment and pre-dispatch guidance.
When distributing inventory yourself, send the items and quantities assigned to every fulfillment center in the plan. Keep separate packing and tracking records for each destination. Do not combine allocations into a shipment to whichever facility is most convenient. Check the inventory distribution instructions against the plan you are actually sending.
Build the packing record from the actual load
Give the warehouse a destination-specific list of SKUs, units per case, total cases, and total units. Reconcile those totals before sealing cartons. Record the actual dimensions and weights requested by the shipping flow. A saved packing template is a starting point: check that today’s carton and contents still match it.
For mixed cartons, retain a box-by-box contents record so the receiving label stays attached to the right contents. If packing changes after the plan is prepared, reconcile the plan and affected labels before dispatch. Assign one person to approve the final version rather than leaving transport and warehouse teams with different files.
Follow the packing flow available in your account. Walmart’s standard box-contents guide explicitly describes a beta available to select sellers and links a different flexible-packing experience. Its screens and templates are not universal requirements for every seller.
Prepare the product, then check three label jobs
Check the current WFS Routing and Packaging Guide through Walmart’s overview for product, master-case, pallet and delivery specifications. Walmart says the detailed guide is continually updated. Recheck the relevant requirements for this shipment rather than relying on an old warehouse instruction sheet.
Sellable units must be protected in sealed or closed packaging, ready for sale. Review product-specific preparation for liquids, sharp items, fragile goods, batteries and sets where applicable. A sturdy outer carton does not replace the preparation required for the item inside. Use Walmart’s prepare and pack guide.
Item identification: each sellable unit needs a readable, scannable GTIN or UPC on its outermost packaging. Each variant needs its own barcode. A warehouse SKU or Amazon FNSKU is not a substitute. Cover conflicting old labels and barcodes.
WFS receiving identification: download the receiving labels for the relevant shipment and match them to the boxes or pallets. These identify the shipment and contents at Walmart. Follow the guide’s placement and mixed-SKU marking instructions, including STOP labels where required.
Carrier identification: transportation labels route the shipment to its destination. They serve a different purpose from WFS receiving labels. Check that both are present where required and readable after wrapping or staging. Use the current Walmart label guide for the exact application rules.
Choose transport and assign the delivery appointment
Compare parcel, less than truckload (LTL), and full truckload (FTL) against the actual cartons or pallets and current carrier requirements. LTL shares truck space; FTL uses a whole truck. Compare available quotes and coordination needs without assuming one method is always cheapest or has a fixed transit time.
The Walmart Preferred Carrier overview, updated October 20, 2026, describes all three modes and limits the program to origins in the 48 contiguous United States. Its estimates use shipment details and addresses. Check eligibility and the displayed shipment quote before accepting.
Parcel deliveries need no WFS facility appointment, whether you use a preferred carrier or your own. Every LTL and FTL delivery needs an appointment. With WPC, Walmart handles that coordination; with your own freight carrier, the carrier books through Scheduler 2.0 and brings the appointment confirmation. Confirm that responsibility before release using Walmart’s appointment guide.
Release the shipment with a clear handoff
For WPC parcel, follow the available drop-off or pickup option. For preferred freight, verify the pickup arrangements for your assigned carrier. The FTL date is not final until the carrier contacts your listed person and receives confirmation. Name someone at the pickup location who can respond and coordinate loading. See Walmart’s pickup instructions.
With your own carrier, book pickup directly, include the shipment ID, obtain its carrier labels, and add tracking numbers in Seller Center. For freight, prepare the dedicated bill of lading with the shipment IDs, destination and other required details; check LTL classification information where applicable. WPC freight bills of lading are available through Seller Center. Follow Walmart’s own-carrier requirements.
Before the driver takes the load, have the warehouse and shipment owner confirm the following record together. Keep it with the shipment so the person checking receiving can trace what actually left.
- Plan and load agree on destination, shipment IDs, SKUs, unit quantities and case or pallet counts.
- Product preparation and item, receiving and carrier labels have been checked on the staged load.
- Pickup is confirmed, the location contact is reachable, and freight appointment responsibility is acknowledged.
- Required freight documents accompany the load; tracking and dispatch evidence are retained for receiving follow-up.
Verify receiving separately from carrier delivery
Carrier delivery is the arrival record. WFS still needs to inspect, verify and put inventory away. Keep the delivery evidence, then open the shipment’s item receiving progress in Shipping Plans. Walmart’s receiving-issues guide describes Track items and action details for issues such as damage, incorrect preparation, unexpected items and item-setup mismatches.
Follow any requested action and monitor the shipment owner’s email. Walmart recommends comparing shipped and received totals once receiving is done and the shipment is Completed. Preserve SKU-level differences alongside the packing record, tracking and delivery proof. If a discrepancy remains, follow the current support or dispute instructions and applicable timing; direct investigation options are available only to select sellers.
For ongoing coordination across catalog, inventory and fulfillment responsibilities, Go Massive’s Walmart service can help organize the operating work.
